We prepare the quotes, however, you still make the decisions. This allows you time to focus on other aspects of the conference, such as promoting the conference to maximise delegate attendance.

Project Management

  • Attend conference meetings as required
  • Produce a detailed running sheet
  • Present detailed progress reports at all meetings
  • Obtain and review all quotations
  • Co-Ordinate signage at venue

Budget and Financial Management

  • Produce a budget detailing all costs
  • Provide all invoices for payment

Venue and Social activity Management

  • Co-ordinate venue requirements such as room set up, secretariat room, programs, speaker needs, food and beverage requirements, confirm delegates, co-ordinate stage sets and audio visual requirements.
  • Source and arrange entertainment for social activities
  • Source and arrange themeing and decorations

Speaker and Technical Management

  • Prepare and distribute speaker kits
  • Collation, copying and distribution of papers
  • Manage rehearsals and speaker requirements
  • Arrange all speaker equipment

Onsite Conference Management

  • Assist or control registration desk
  • Co-ordinate all venue requirements including check on conference sessions, catering arrangements, venue signage, audiovisual, speaker times etc.
  • Ensure exhibitors requirements are met.
